Tech Scouts on a Budget: When Does the 'Textbook' Plan Break Down?

Hey everyone,

I'm Megan, a Script Supervisor primarily working on independent shorts and a few micro-budget features recently. I've been reading up on ideal production workflows, and every 'how-to' guide emphasizes a robust tech scout with all department heads present: director, DP, AD, Gaffer, Key Grip, Sound Mixer, Production Designer, Wardrobe, HMU, etc. It sounds incredibly thorough, and I get why it's the gold standard.

However, in my experience, this full-house approach often feels like a luxury we can't afford. On our recent short, it was essentially me, the AD, DP, and Director scouting, with other heads getting photos and notes later. It worked, but I can't help but wonder what we missed.

When does this formal, 'textbook' tech scout simply NOT work for fast-paced or low-budget productions? What are the most common compromises you've seen or made, and what departments tend to get left out of the in-person scout first?
