Wardrobe Continuity: Juggling Roles & Complex Aging - Your Workflow?

Hey everyone, David here. As an editor, I'm often wearing a few hats on smaller indie projects, and one area I'm constantly trying to refine is wardrobe continuity, especially when things get complicated. I've been reading up on various systems, but it's one thing to read about them and another to actually implement them effectively when you're also concerned with other production aspects.

On my current short film, we're dealing with a character whose look changes significantly due to aging and breakdown across different scenes shot out of sequence. I've tried using a combination of my phone for quick photos and a notepad, but I'm finding it hard to quickly reference specific details and track subtle changes over time. It feels a bit haphazard, and I worry about missing something critical in the edit.

For those of you who juggle multiple roles on set, particularly if you're involved in wardrobe or directly responsible for continuity, what's your go-to system for photo documentation and logging changes? How do you keep everything organized, especially with complex aging or breakdown, to prevent those dreaded continuity errors?
