Tight Budget Pre-Production: How do you do it without retreats or high-end pre-vis?

I'm Nina Kowalski, a working screenwriter, currently developing a passion project a bit outside my usual scope. I've been looking at best practices for pre-production, and all the advice points towards things like 'story summits' for collaborative development and extensive pre-visualization. It sounds amazing, and I can see the value.

Here's my challenge: my current project simply doesn't have the budget for dedicated writing retreats, flying a team to a fancy location, or investing in expensive software for detailed previs. We're talking shoestring, relying on goodwill and talent.

I've tried a lot of video calls and shared documents, which helps, but it still feels like we're missing that deeper, more tangible visualization and collaborative immersion. How do you folks handle truly effective, collaborative pre-production and visualize complex sequences when you don't have the luxury of those big-budget tools and dedicated spaces?
