Cross-Departmental Synergy on Small Crews: How Do You Make it Work?

Hey everyone,

I'm Haley, a working screenwriter, and I'm grappling with something I hear a lot about in bigger productions: 'cross-departmental synergy meetings.' The idea of different departments coming together to ensure everyone's on the same page is fantastic, but my experience is often on smaller, indie crews where everyone's wearing three hats and juggling multiple roles. We just don't have dedicated 'departments' in the traditional sense.

My current project is a dark comedy short, and I'm trying to make sure my vision as a writer aligns seamlessly with what our director, DP (who's also doing lighting), and our single production designer/costumer are envisioning. We do have ad-hoc check-ins, but I'm wondering if there's a more structured, yet still flexible, way to integrate that 'synergy' concept without adding more meetings that just feel like more work for overloaded individuals.

For those of you who work on smaller teams, how have you adapted or reimagined the idea of these synergy discussions to fit your process?
