Airtable/Notion for Locations: Adapting to Your Workflow?

Hey everyone, as a Producer, I'm constantly on the lookout for better ways to manage our location scouting and library. We shoot a lot of regional commercials and indie features here in the Southwest, so our needs are pretty specific, think desert landscapes, unique architecture, and a good mix of urban/rural feels. I've been experimenting with Notion and Airtable, trying to build out a centralized database. I like the customization, but I'm struggling with how to best structure it for quick searches based on visual characteristics, accessibility, and local permits. Right now, it's a lot of manual tagging. For those of you using these tools, specifically for a personal location library, how have you adapted Notion or Airtable to fit your unique process and the specific demands of your region?
