Tech Scout for Fast-Paced/Low-Budget, When to Ditch the Textbook?

Hey everyone, I'm Elena Rodriguez, a Producer, and I'm currently prepping a passion project that's definitely on the leaner side budget-wise and we're looking at a pretty aggressive schedule. I've been reviewing a lot of production guides, and they all strongly emphasize a full-scale tech scout with every single department head present. My instinct is that this 'textbook' approach doesn't always translate perfectly to our kind of production. We just don't have the time or the money to get literally everyone on location for multiple full days.

I'm curious to hear from those of you who've navigated similar waters: when does this formal, all-inclusive tech scout actually not work for a fast-paced or low-budget production? And more importantly, what are the typical, intelligent compromises you've made to still get the essential information without breaking the bank or schedule?
